Article I: Name
Article II: Goals and ObjectivesSection 1:
The name of this organization shall be Youth Hope Organization herein referred to as YHO.
Article III: Membership Requirements and LimitationsSection 1:
As volunteers, YHO's members' goals and objectives are:
- To reach out to under privileged youth through the promotion of education, health, and diversity.
- To provide resources for its members to explore and set up new volunteer sites.
- To train our members to be ambassadors of humanitarian issues affecting youth.
- To promote cultural appreciation among both the volunteers and the youth they provide for.
- To encourage professionals to devote their expertise to the betterment of the children lives.
Article IV: Dues and FeesSection 1:
- All current University of Michigan undergraduate and graduate students are eligible to become members; however, membership is not limited to only U of M students.
- New members will be recruited year long.
Article V: Officers (titles, term of office, how and when elected)Currently, there are no membership fees. However, this is subject to change.
Article VI: AdvisorSection 1:
The Board of Directors shall consist of a minimum of 6 students: Co-Chairs, Treasurer, External Public Relations, Internal Public Relations, Fundraising Coordinator, Local Sites Coordinator, and Webmaster.
Section 2:
Duties and responsibilities of officers are as follows:
- Co-Chairs
- To facilitate the general operations of the YHO
- To schedule, plan, and lead meetings
- To ensure that events and action align with YHO mission and long-term direction
- To work with each other to oversee and address organizational issues and different aspects of the board
- To assign tasks to officers and members and ensure deadlines are met
- To maintain communication between board members and to advocate a group-working environment
- Ensure that members are true to the Constitution
- To hold a disciplinary review for officers and members that fail to hold up their duties and the YHO Constitution
- Treasurer
- To account for all funds and expenses
- To prepare accurate and timely budgets for each event
- To actively seek out and apply for funding in conjunction with other members when necessary
- To handle reimbursements and payments
- To provide timely updates on the SOAS account (i.e. after account activities)
- External Public Relations
- To establish, maintain and document cooperative relationships with representatives of the community and public interest groups
- To respond to requests for information from the media or those outside the organization
- To work with Internal PR for recruiting new members
- To develop publicity materials for events
- To study the objectives, promotional policies and needs of organizations and develop effective public relations strategies
- Internal Public Relations
- To serve as a proactive liaison between board and general members, by notifying club members of upcoming events, news, etc. (but not limited to these duties)
- To handle contacting and recruiting new members
- To keep record of attendance at general member meetings
- To record meeting minutes and make them accessible to members (Email/Ctools/Website)
- To work with External PR to keep record of important contacts and affiliates
- To update the YHO mailing list as necessary
- Fundraising Coordinator
- To plan and coordinate fundraisers for local projects (and international projects, when applicable)
- To work with the Treasurer to find and obtain funding for events
- To set the target and deadlines for each fundraiser (confirmation required from entire board)
- Local Sites Coordinator (TBD)
- Webmaster
- To manage and update the YHO website, which includes providing information on upcoming events for the semester, uploading pictures from past events and timely editing of information as necessary
- To manage and maintain the YHO CTools site
Section 3:
YHO Officer Requirements:
- All YHO officers are expected to attend all meetings and major events
- All YHO officers should be on time to all meetings and events and be engaged
- All YHO officers are expected to be fully prepared for each meeting and have their tasks done before hand
- All YHO officers should be respectful to each other and their opinions
- All YHO officers must follow the rules and bylaws of the YHO Constitution
- All YHO officers must follow the rules and bylaws of the YHO Constitution
- All YHO officers are expected to maintain thorough knowledge of the social issues that YHO is involved in
*Failure to maintain the rules and bylaws of the YHO Constitution and Officer Requirements will result in a position review and possible removal by the Executive Youth Hope Inc. Board of Directors and the Co-Chairs of the UM Youth Hope Organization.
** If an officer is to miss a meeting or an event, they should notify the board of the absence at least 24 hours prior to the date. They are also expected to complete their task prior to the absence.**Section 4:
New board member selections will be conducted through interviews and elected by the board of directors.
Article VII: MeetingsWe currently have mentor(s) overseeing the activities of YHO. The term of advisor will end when he or she chooses to or when the board deems appropriate.
Duties of Advisor:
- To advise in whatever capacity possible
- To be accessible whether through electronic communication or other means
- To offer different perspectives during board meetings; however does not possess the right to vote
Article VIII: QuorumWeekly meetings will be held called by the Co-Chairs.
Article IX: AmendmentsA minimum of five board members should be present to transact business.
Article X: RatificationSection 1:
Proposal of Amendment
New amendments can be proposed by general members and the general board of directors.
Section 2:
Addition of Amendment to Constitution
To pass an amendment, it requires a 2/3 vote of all members.
As members of Youth Hope Organization, all members will abide to this Constitution and the established policies of the University of Michigan.
